Archiva assumes full responsibility of the preservation process of both electronic and paper documents and their delivery. To assume the full responsibility means that the customer can completely delegate the process to Archiva in compliance with the regulations in force.
Archiva only provides document process outsourcing services for the digital archiving and preservation of documents. It does not do business selling SW or HW or invoicing maintenance fees or days of consultancy to its customers; it uses and integrates the best software and high performance HW allowing customers to save the costs related to SW selection, investment, start-up and learning curve.
Companies that have paper archives do not have any interest in dematerialising documents. Years of historical paper archives often represent an indissoluble bond between customer and supplier, because transferring and reclassifying a paper archive is an operation that entails costs that are much greater than the benefits achieved by changing to a better or simply less costly supplier. Archiva lets its customers free to choose the best supplier, because while transferring a paper archive is very complicated, changing a digital archiving outsourcer is possible.
When a customer digitally signs documents, it is delegating only a part of the preservation process, while keeping within the company a part of the responsibility. Archiva customers do not have to sign documents. With Archiva, customers delegate full responsibility of the digital preservation process. Over 450 customers have been doing this with us for years and hundreds of tax audits have been successfully carried out on our customer documents dematerialised by Archiva: this underlines our reliability and trustworthiness.
Archiva sensed the business and the potential of digital archiving years before the regulatory framework was defined and it was a pioneering company in the field of this type of service. All the customers that believed in us right from the beginning, started to immediately reap the benefits of document management and they have always been compliant with legal and tax requirements. Archiva is also recognised by the public officers that carry out the checks as a reliable and scrupulous partner.
All Archiva’s services are provided by regularly employed staff. We do not use sub-contractors. We do not use external workers. Your documents are in good hands: ours. We personally check each process stage because we are responsible for it. Many of our competitors sell the services of others or subcontract part of the process, handing over your documents to companies you do not know. With Archiva you always know that your documents and data are safely in our hands.
Archiva processes and preserves over 65 million images every year in electronic format and has over 350 million documents on-line. Archiva’s databases will soon be managing a billion records. Archiva is the main customer of many leading multinational companies in this market, which work with us as technological partners. We are the reference company as outsourcer for digital archiving. Since the middle of 2010 Archiva has been working from new headquarters that it owns; the headquarters cover a surface area of about 4,000 square meters, with an area of about 300 square meters dedicated to the data centre and auxiliary rooms for the delivery of services. To ensure continuity of service and the optimisation of energy consumption, we have a UPS system (auxiliary power supply) with a capacity of 200 KVA and a photovoltaic system for the production of power with peak capacity of 100 kW.
